Behind the Build: Open Studios Australia
Open Studios Australia is more than a website and app, it’s a digital platform designed to connect artists, studios, event organisers and communities across regional Australia.
When we began working on this project, the goal was clear:
Create a platform that makes participating in open studio events simple, accessible and scalable, while supporting the unique needs of artists and organisers.
What quickly became clear was that this would require much more than a standard event website.
The Challenge: Multiple Users, One Seamless Experience
Open Studios Australia brings together several distinct user groups:
- Public visitors browsing and planning their visits
- Art lovers: App users who like to stay in touch with artists and events
- Artists: showcasing their work
- Licensees: Regional administrators/ Event organisers
- Super admin: Assisting the licensees (our client)
Each group has different needs, permissions and workflows.
The challenge was designing a system that feels intuitive for all of them, without overwhelming any one user.
We needed to balance:
- Public event discovery
- Artist profiles and portfolios
- Studio management
- Application workflows
- Approval systems
- Event creation and participation tracking
- Custom catalogue builder function
- Blogs and news
- Administrative oversight
- Secure payment integration
- etc.
All within a single, cohesive experience.
Designing for Simplicity (With Complexity Underneath)
One of the key principles behind the platform was this:
- The front-end should feel simple.
- The complexity should live behind the scenes.
For artists, joining an event might look like a straightforward application form.
Behind the scenes, that action triggers:
- Application tracking
- Role-based permissions
- Approval workflows
- Notification systems
- Status visibility controls
- Collaboration options
- Catalogue creation (artists is able to be added only onces approved)
- Allowing artists to submit activities for event
Similarly, organisers can manage events, review applications and oversee participation without navigating technical dashboards.
The platform handles the logic, users focus on creativity.
Building Flexible Role-Based Architecture
A major technical consideration was designing a system that could:
- Support different user roles
- Allow users to participate in multiple events
- Enable artists to collaboration for events and activities
- Creating a custom catalogue function
- Scale across regions
- Remain adaptable for future expansion
We implemented a modular structure that separates:
- Public browsing experience

- Super admin which can control all regions
